Application Process

Please make sure that you read all of the information thoroughly and be careful to complete the documentation correctly. Incorrect or incomplete documentation may jeopardise your chance of securing a room.

Step One – Applying for Accommodation

To apply for accommodation you need to complete and return the Rental Application to us. We also require the following documents:

  • Valid full passport copy
  • Original proof of unconditional acceptance onto a qualifying course i.e. UCAS slip or letter from your University – letter dated within the last 4 months.
  • Two passport photos
  • Advance Rent £100

If you have a UK based guarantor (only applies to Great Britain residents) we require the following documents from your guarantor:

  • Copy of Photo identification (Valid Passport or Full UK Driving Licence)
  • Copy of a recent council tax bill
  • Copy of 2013/2014 P60 or Tax Return if Self employed.

Step Two

Once the above documentation has been received by us, your application for accommodation will start to be processed. Please be aware that all applications for accommodation are processed on a first come first served basis.

Your room will be allocated based on the information you have stated in your Booking Information document. Where possible, we will take into account the preferences you have stated; however, requests cannot be guaranteed.

Once your application has been accepted, you the tenant and guarantor will meet with the landlord to sign a Assured Shorthold Tenancy Agreement (AST). After the AST is signed your tenancy will be secured. In due course you will be sent an email confirmation (detailing the apartment number you have been allocated) and receipts for any payments that have been taken.

Before the start of your Tenancy we will send you a letter or email containing some useful information to help make your stay at Empire House as comfortable as possible. The letter will contain details including the best time for you to move in and what time the on-site office will be open at Empire House.

Step Three – Moving In

On arrival at your accommodation you will be given your keys / entry fob and a Guide to Living in our accommodation. It is important that you also check our website for any interim updates.

In the event that you cannot make the time / date listed on your arrival letter, please contact us as soon as possible to make alternative arrangements.

Please note: If we are missing important information required completing your application for accommodation, your documentation may not be processed and may be returned to the address you have provided to us. This could affect your room allocation.


  • 1. Advance Rent £100 (payable on booking).
    • Advance Rent of £100 becomes part of your total rent..

  • 2. Cancellation Policy
    • Our booking services commence immediately when you submit a signed copy of this document to us, we will retain £100 of the Advance Rent to cover our costs if you cancel your booking.
    • You can only cancel the Assured Shorthold Tenancy Agreement (AST) and therefore your booking where:
    • This is your first year of study and you provide evidence to us by e-mail or in writing no later than 23 July 2014 that you have not been accepted by the University of your choice (for example by not achieving the required A level results) and wish to cancel your Booking; or
    • You find a replacement tenant, acceptable to Empire House, who wishes to replace you as occupier of your Room and enter into an AST with Empire House on terms equal to the AST entered into by you;
    • You choose to cancel for any other reason in which case you may only do so if you contact us within 14 days of making your booking (but in all cases with a cut off date of 23 July 2014).

    If you do cancel in one of the valid ways set out above:

    • £100 of your Advance Rent will be retained by us as explained above.
    • You will not be required to make any future payments; and
    • We may re-allocate your Room.

    Important Note:

    • If the student / tenant pays the£100 Advance Rent but does not sign and return a copy of the Assured Shorthold Tenancy Agreement (AST) or Guarantee where required, £100 of the Booking Fee will still be retained to cover administrative costs.

  • 3. Single Payment attracts a 2% discount on the total rent payable.

Rent Arrears

  • An administration fee of £30 will be charged each time a rent instalment is overdue, unless prior agreement has been obtained. In addition a further £10 administration fee will be charged, should it be necessary, each time we write to you regarding arrears.

Room Moves

  • An administration charge of £75 will be charged to any tenant(s) who requests to move room following the commencement of the Assured Shorthold Tenancy Agreement (AST).
  • Please note: Room moves are subject to availability.

The Tenancy

  • Your Tenancy will be an AST from 1st September 2014 for minimum 43 weeks
  • 43 Weeks Tenancy Starting: 01/09/2014 Ending: 27/06/2015

Utility Costs / Council Tax

  • The Rent is inclusive of all utility costs. Full-time students are currently not liable to pay council tax. Please make sure that a valid exemption certificate (available from your university) is handed to us within 7 days of the start of your Tenancy to ensure that no charge will be levied


  • Free complimentary WiFi internet access.


  • A UK resident guarantor and confirmation of residential address (in the form of a valid council tax bill) for the AST will be required from all UK tenants, wishing to pay by instalments.

TV Licence

  • If you bring your own television, you are responsible for the purchase of a TV licence. More details can be found on the website -

  • There is car parking at the accommodation.
